What it does

Most teams end up with hours in one tool, tasks in another and invoices in a spreadsheet. By the time somebody adds it up at the end of the month, nobody can say with confidence which project ate the week.

Happy Tracker keeps the whole chain in one system, so the hours a person logs are the hours that appear on the client’s invoice.

Project board and sprints

A five-stage board with sprint planning, a backlog, and points, priorities and labels on every task. Tasks carry the time logged against them, so a sprint review is a real number and not a guess.

Time tracking and timesheets

Clock in and out, with daily, weekly and monthly team timesheets, manager approvals, week locking and CSV export. Once a week is approved and locked, it stops changing underneath you.

Activity Mode

A productivity score per activity block that rolls up to the task, the project and the person. It counts movement density, never what is typed, and anyone can reclassify a block as a meeting, a break or learning.

Automatic screenshots

Captured at an interval the admin sets — every 10, 5 or 1 minute, or off entirely. Blurred on the device before they are sent, and deleted automatically once the retention window passes.

Reports and invoicing

Attendance, time and productive-time reports, plus branded invoices generated from billable time by client or by task, with tax and PDF export. No re-entering hours by hand.

People, leave and holidays

Four roles with role-based access, per-member billable rates, leave requests with approvals and balances, and a shared holiday calendar.

A day on Happy Tracker

Nothing here needs a daily habit beyond clocking in. The rest is a by-product of working.

  1. Clock in from the desktop tracker or the browser. The desktop apps handle screenshots and activity; the web app needs nothing installed.
  2. Pick the task you are on from the sprint board. Time attaches to that task, so it also attaches to the project and the client.
  3. Work. Screenshots and activity blocks are recorded on the schedule the admin chose. Anyone can look at their own and reclassify a block that was a call or a break.
  4. Clock out. The timesheet fills itself in. Nobody writes down hours at the end of the day.
  5. The manager approves the week and locks it. Locked weeks cannot be edited, so the record stops moving.
  6. The invoice is generated from the approved billable time, by client or by task, with tax, and exported as a PDF.

Activity Mode, honestly

Activity Mode is the part people are right to ask about, so here is exactly what it does.

The tracker records which application is in use and how active the session was, and scores each block. Those scores roll up to the task, the project and the person — a block might read 84 out of 100.

It counts movement, not keystrokes

Activity is measured by movement density. The tracker does not record what is typed, and there is no keylogger in any build on any platform.

Blocks can be reclassified

A quiet hour is not a lazy hour. Any block can be marked as a meeting, a break or learning, by the person it belongs to, and the score stops counting it against them.

It is a score, not a verdict

A number between 0 and 100 describes a block of time. It does not describe a person, and a team that treats it as a ranking will get the behaviour it deserves.

Screenshots can be turned off completely. The admin sets the interval, and “never” is one of the settings. Plenty of teams run Happy Tracker for timesheets, leave and invoicing and never switch screenshots on at all.

Screenshots, and what happens to them

If you are going to capture somebody’s screen, the handling matters more than the feature.

Stage What happens
Capture On the schedule the admin sets: every 10, 5 or 1 minute, or off. Up to twelve per ten minutes on Business.
Blur Applied on the device, before upload, when the setting is on. Screenshot blur is available from the Starter plan up.
Store Compressed per plan, kept as a thumbnail plus a full-resolution copy.
Who can see Role-based. Owners, admins, managers and team members each see a defined slice, not everything.
Delete Automatic, once the plan’s retention window passes — 3 days on Free, up to 15 days on Pro and Business.

Roles

Four roles, so the person who runs payroll is not also the person who can delete a project.

Role Broadly
Owner The account. Billing, seats and everything below.
Admin Settings, people, projects and the organisation’s reports.
Manager Their team: approvals, timesheets, leave and the reports that go with them.
Team member Their own time, tasks, screenshots and leave requests.

Where it runs

One account, four ways in. The desktop trackers handle screenshots and activity; the web app does everything else and needs nothing installed.

Platform Requirement Notes
Web app Any modern browser Clock in, timesheets, reports, invoicing, leave
macOS Native tracker Apple Silicon and Intel
Windows Native tracker Windows 10 and 11
Ubuntu Native tracker Screen capture through the desktop portal

Pricing

Priced per user, per year — not per month. One payment for the year, no auto-renewal, and extra seats can be added without changing plan.

The plans differ mainly in how many people they cover and how long screenshots and activity are kept.

Plan Per user / year Works out at Users Projects Screenshots kept
Free Free — 5 3 3 days
Starter ₹499 ₹42 / month 30 10 7 days
Pro ₹999 ₹83 / month 100 Unlimited 15 days
Business ₹1,499 ₹125 / month 500 Unlimited 15 days
Timesheet approvals, invoicing, attendance, leave and the audit log are on every plan, including Free. The only feature the plan actually gates is screenshot blur, which starts at Starter. We would rather say that plainly than let you find out after paying.

Who it is for

  • Agencies and studios billing clients by the hour
  • IT firms and service businesses with several projects running at once
  • Remote and hybrid teams that need an honest record of the working day
  • Product and development teams running sprints
  • Ops and HR teams handling attendance, leave and approvals
  • Anyone currently reconciling a timesheet spreadsheet against an invoice by hand

Questions people ask

Do we have to use screenshots?

No. The admin sets the interval and one of the options is off. Teams run Happy Tracker purely for timesheets, leave, reports and invoicing all the time.

Does it record what people type?

No. Activity is measured as movement density. There is no keystroke logging in any build, on any platform.

What does the Free plan actually include?

Five users, three projects, and time tracking, timesheets, approvals, attendance, leave and invoicing. Screenshots and activity are kept for a few days. It is a plan, not a trial, and it does not expire.

Is there a monthly plan?

No. Pricing is one payment per user for the year, and there is no auto-renewal — nothing charges itself again without you deciding to.

Can people add time they forgot to track?

Yes, and a manager approves the week before it is locked. Once a week is locked it stops changing, which is the point of approvals.

Can we export the data?

Yes. Timesheets export to CSV and invoices and reports export to PDF.
